Responsibilities of the Executive Committee

 The President:
  • Shall act as the primary elected representative of the members of the Association, and as the official spokesperson of the Association;
  • Shall convene and chair all Executive meetings, where circumstances allow;
  • Shall maintain oversight and lead the Executive to fulfil the core functions of NZAPS-O and advance the goals of the Association in regards to the educational, welfare, social, cultural and sporting interests of NZAPS-O members;
  • Shall arrange for the recruitment of new members and the camp for new members, held in the month of February;
  • Shall submit the Annual Report of the Association at the Annual General Meeting.

The Secretary:

  • Shall take minutes of all Executive meetings, where circumstances allow, and shall actively maintain the formal records of the Executive meetings of the Association;
  • Shall publish the minutes of all Executive committee meetings in the NZAPS-O office, and allow access to historical minutes of the Executive per member requests;
  • Shall issue all notices for the Annual General Meeting and any Special General Meetings in conformation with the Rules of the Association;
  • Shall take minutes of the Marketing and Communications Committee, where circumstances allow;
  • Shall be the contact person of the Association for all regional and national communications;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Treasurer:

  • Shall collect and deposit finances into the accounts of the Association as required by the Executive.
  • Shall maintain a record of all financial transactions of the Association;
  • Shall actively keep the Executive informed as to the financial position of the Association;
  • Shall, where appropriate, seek means to improve the financial position of the Association;
  • Shall submit the Annual Financial Report of the Association at the Annual General Meeting.

The Education Officer:

  • Shall chair meetings of the Education Committee;
  • Shall make recommendations to the Executive for the appointments of year-level Class Reps;
  • Shall keep members of the Association informed about developments in the School of Pharmacy, and any other matters that come to their notice;
  • Shall organise at least one education-related event per semester.;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Welfare Officer:

  • Shall chair meetings of the Welfare Committee;
  • Shall make recommendations to the Executive for the appointments of non-Executive members to the Welfare Committee;
  • Shall convey welfare concerns and issues to the Executive and School of Pharmacy, where appropriate;
  • Shall organise at least one cultural, international or welfare -related event annually;
  • Shall act as the official Student Exchange Officer (SEO) of NZAPS-O to the International Pharmacy Students Federation;
  • Where practical shall attend the IPSF Congress;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Campaigns Officer

  • Shall chair meetings of the Campaigns Committee;
  • Shall make recommendations to the Executive for the appointments of non-Executive members to the Campaigns Committee;
  • Shall organise at least three health or wellbeing related campaigns annually;
  • Shall act as the official Contact Person (CP) of NZAPS-O to the International Pharmacy Students Federation;
  • Shall assist in the arrangement of, and seeking of funding, for all international pharmacy student conference trips, including but not limited to APPS Congress, IPSF Congress and NAPSA;
  • Where practical shall attend the IPSF Congress;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Social Officer:

  • Shall chair meetings of the Social Committee;
  • Shall organise at least one formal event per semester;
  • Shall organise at least one other social-orientated event per semester;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Sport Officer:

  • Where practical, shall organise the annual Inter-Pharmacy sports event;
  • Where practical, shall assist in the organisation of the annual Inter-Faculty sports event and, any other Inter-Faculty social events.
  • Where practical, shall organise weekly sports for Association members;
  • Where practical, shall organise a staff vs student sports competition;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Marketing Officer:

  • Shall produce the annual discount and rewards card for members;
  • Shall be responsible for applying for sponsorship for the Association;
  • Shall produce merchandise for members to purchase;
  • Shall submit a Portfolio Report to the Annual General Meeting.

The Revue Officer:

  • Shall organise the annual Pharmacy Revue;
  • Shall submit a Portfolio Report to the Annual General Meeting.
